Ephemerent Glow privacy policy

Ephemerent Glow was discontinued October 11, 2026. New intake, generation, purchases, and outreach are closed. Existing accounts can export saved records through November 10, 2026, and contact kt@ephemerent.com for deletion or support. This policy remains as the record of how retained data is handled.

Information you provide

We collect your sign-in account identifier and email, résumé uploads, confirmed experience, education, skills, target roles, job descriptions, profile links, project briefs, and the drafts you save. For outreach, we store the company contacts you import, message drafts, your sender details, campaign approvals, send status, and opt-outs. We also keep order references, purchased allowances, support requests, and operational events needed to run the service.

Google account data and Gmail permissions

Connecting Gmail is optional. With your explicit Google consent, Glow requests your Google account email address (userinfo.email) to identify the connected sender and Gmail send permission (gmail.send) to send only the campaign messages you review and approve. Google supplies access and refresh tokens, and Gmail supplies message identifiers and send results. We store the connected email, encrypted refresh token, and relevant send identifiers/status so we can maintain the connection and avoid duplicate delivery.

Glow does not request permission to read your inbox, retrieve existing emails, read contacts, or access Google Drive. Replies remain in your Gmail account. We do not import inbox messages into AI tools. A message is sent only after you approve its recipients and content; you can pause a campaign or disconnect the mailbox.

How we use information

We use your submitted career information to organize a profile, generate the materials you request, create private previews, and publish only the portfolio snapshot you approve. We use outreach information and Google authorization to send approved messages, enforce allowances and provider limits, prevent duplicate sends, and honor opt-outs. Account and order records provide customer access, receipts, support, refunds, and abuse prevention.

Google user data is used only to provide these user-facing connection and email features. We do not sell Google user data, use it for advertising or profiling, or use data obtained through Google Workspace APIs to develop, improve, or train generalized or non-personalized AI or machine-learning models. Ephemerent Glow’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

Sharing and service providers

Google receives the sender authorization, recipients, and approved message content needed for Gmail delivery. Your chosen recipients receive the messages you approve. OpenAI Sites and its Cloudflare infrastructure host the application, authentication, database, and private files. Stripe handles checkout and payment details; Glow stores payment references and status rather than full card numbers. Resend receives the recipient email and content needed to deliver service notifications.

When you request AI generation, your submitted career facts, target-role information, and relevant company context are processed by the AI provider configured for Glow. Direct contact fields are omitted from repeated career rewriting prompts. Gmail tokens and inbox content are not sent to that provider. We do not sell your private documents or contact lists. Authorized Ephemerent staff may access private records when needed for requested support, fulfillment, security, or legal obligations. Private drafts are not published automatically.

Storage and protection

Private records belong to your authenticated account. Server checks restrict access to you and separately authorized administrators. Original documents and exports use private storage. Gmail refresh tokens and provider credentials are encrypted at rest using AES-GCM; service connections use HTTPS. Operational logs are designed to record status and identifiers instead of full résumés or project briefs. These safeguards reduce risk but cannot guarantee absolute security.

Retention and deletion

Original résumé uploads are scheduled for deletion 30 days after extraction. Confirmed profiles, purchased artifacts, campaign records, and private drafts remain available until you delete them or request account deletion. Payment records may be retained for accounting, dispute resolution, and legal obligations. The minimum suppression records needed to honor recipient opt-outs are retained to prevent renewed unwanted contact.

Disconnecting Gmail removes Glow’s stored refresh token and pauses its campaigns. You can also revoke access through Google Account connections. Revoking access does not recall emails already sent or delete copies in recipients’ mailboxes. Use Glow Settings to export your profile, delete documents, or request account deletion; contact kt@ephemerent.com if you need help. Account deletion removes private artifacts and mailbox credentials and anonymizes payment ownership where retention is necessary.

Your choices and changes to this policy

You choose whether to connect Gmail, approve a campaign, or publish a portfolio. Unpublishing removes public access to the approved snapshot; previously downloaded copies cannot be recalled. You can use the unsubscribe link in Glow-sent outreach to stop future campaigns from that sender. We will update this page and notify affected customers before materially changing how Google user data is used. This service is intended for adults.
